Office Manager / Executive Assistant

General Purpose
Responsible for the organization and coordination of school office operations,
procedures, and resources to facilitate organizational effectiveness and
efficiency.

Job Tasks and Responsibilities
● Headmaster Support
○ Collaborate on meetings and school calendar
○ Incident awareness
○ Faculty Meeting Agenda and Minutes
● New Families
○ Schedule tours, manage admissions process
● Facility
○ Coordinate service/repairs on-campus
○ Order supplies (office, janitorial, classroom)
○ Coordinate rental of facilities
● Students
○ Maintain student records and grades
○ Render basic first-aid and administer approved medications
● Faculty/ School
○ Notify faculty of enrollment changes
○ Maintain safe environment status
○ Coordinate graduation/awards ceremony trophies/plaques and certificates
○ Manage curriculum inventory
○ Order and distribute textbooks
○ Coordinate Parent Volunteers
● Communication
○ Maintain current information on the website
○ Review and forward pertinent information to families
○ Coordinate fire drills, lockdown, emergency parent communication
● Accounting
○ Review and submit hours for staff for payroll processing
○ Process tuition payments
○ Enter and deposit accounts receivable
○ Receive and record benefactor donations
○ Draft payments for vendors, etc.
