The Business Manager serves as the operational and financial leader for Stella Maris Academy and is responsible for the effective administration of the school’s financial, human resources, and business operations. This position ensures accurate financial management, efficient operational systems, regulatory compliance, and strong stewardship of school resources in support of the Academy’s mission and strategic priorities. The Business Manager works collaboratively with school leadership to support the long-term financial health, operational excellence, and sustainability of Stella Maris Academy.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Financial Management & Accounting
- Lead and manage all business office operations for Stella Maris Academy.
- Develop and maintain consistent financial and operational processes across all Academy campuses.
- Oversee all accounting functions including:
- Accounts payable and accounts receivable
- General ledger management
- Payroll coordination and processing
- Monthly and year-end close processes
- Financial statement preparation and reporting
- Cash flow and cash management
- Prepare bank deposits, checks, reconciliations, and supporting financial documentation.
- Reconcile monthly bank statements and financial accounts.
- Maintain accurate and current financial, vendor, employee, and student business records.
- Ensure invoices, billing, and payment collections are processed accurately and in a timely manner.
- Prepare financial reports, dashboards, graphs, and analyses for leadership, committees, and board meetings.
- Support annual budgeting, forecasting, audits, and long-range financial planning.
Maintain strong vendor and banking relationships.
Tuition & Enrollment Financial Administration
- Oversee tuition management systems and processes.
- Coordinate tuition assistance and financial aid administration with school leadership.
- Ensure accurate tuition billing, payment tracking, and family account management.
Human Resources Administration
- Administer human resource functions in compliance with diocesan policies and applicable state and federal laws.
- Coordinate employee onboarding, benefits administration, personnel records, and employment documentation.
- Support employee policy implementation and HR-related communication.
- Maintain confidentiality and integrity regarding personnel and organizational information.
Operations & Facilities Support
- Assist in managing operational, property, and facilities-related needs across the Academy.
- Collaborate with school leadership on operational improvements and risk management.
- Oversee business-related service contracts and operational vendors.
Leadership & Supervision
- Supervise designated business office and support staff, including food service personnel and administrative support staff.
- Assess staffing needs and assist in hiring, onboarding, training, and supervising additional business office personnel as needed.
- Promote a culture of professionalism, collaboration, accountability, and service.
- Supporting family and community needs as presented.
Additional Responsibilities
- Attend meetings, trainings, and professional development as required.
- Perform additional duties as assigned by the President.
SUPERVISORY RESPONSIBILITIES
This position holds supervisory responsibilities for food service program employees and administrative assistant to the academy.
EDUCATION and/or EXPERIENCE
- Bachelor’s degree in accounting or business administration
- Intermediate understanding of Excel, Word and other Microsoft programs to enter and retrieve data, access information and produce correspondence/reports
- Experience in working with G Suite programs
- Knowledge of generally accepted accounting principles
- 5-10 years of relevant experience, preferred
- Experience working with full general ledger and outsourced payroll systems preferred
OTHER EXPERIENCE/SKILLS
- Willing to establish and maintain effective working relationships to complete work assignments
- Capable to work with minimum supervision
- Able to manage workload, deadlines and volume
- Able to identify problems, refer to applicable policies and recommend appropriate action
- Must possess good organizational skills and is detail oriented
- Successfully pass a criminal background check
- High level of integrity and confidentiality necessary in working with private data
