The school community is seeking qualified candidates to fill a full-time Temporary Administrative Assistant position.
FLSA Status: Regular, Non-Exempt, 40 hours/week, 7:30 am-3:30 pm
Temporary Administrative Assistant Position Summary:
Positive Public Relations for the School
● Serve as receptionist for the school and provide customer service to any person (student, parent, volunteer, or staff) needing support from the school’s front office.
● Answer and respond to telephone, email, and in-person inquiries from students, staff, parents, and the general public
● Coordinate with vendors and community organizations
School Office Operations
● Provide administrative and clerical support to the Principal and/or Teachers as directed by the Principal
● Record student and school staff attendance
● Maintain all current & past students/families in School Information System
● Perform data-entry, file maintenance, and record-keeping duties, including but not limited to:
○ Student Cumulative Files
○ Enrollment Packets and Forms
○ Student Medical Notes
● Maintain school-wide communications
● Support Principal with Weekly Newsletter
● Organize all outgoing papers for families to be sent home as needed
● Complete Field Trip Forms
● Update School Calendar accordingly on school platforms
● Support Staff in Website and Social Media Updates
● Maintain Office Equipment and Supplies
● Make copies
● Sort Incoming & Outgoing Mail
Application, Enrollment, and Registration
● Support the Assistant Principal in processing enrollment materials for returning and new students
● Complete data input on computer
● Process ongoing procedures for students withdrawing from the school
Required Skills & Qualifications:
● Practicing Catholic preferred
● Act as a role model of professionalism in a Catholic environment
● Positive demeanor and optimistic, faith-filled outlook
● Collegial in communication, especially in person and by phone
● Support the philosophy, policies, and goals of the school, as well as the decisions made by the Principal and Administrators
● Exhibit flexibility in day-to-day school environment
● Excellent organizational and human relations skills
● Self-motivated and reliable
● Able to establish and maintain positive, effective working relationships with principal, students, parents, staff, and general public
● Able to manage moderate levels of stress and frequent interruption
● Outstanding interpersonal skills with a strong customer service focus (internal and external)
● Ethical and discreet team player
● Ensure the health, safety, and welfare of all students
● Attend faculty, administrative, and all other meetings as needed
Education and/or Experience:
● Bachelors or Associates Degree preferred
● Experience in clerical/secretarial work, including word processing preferred
● Prior experience in a school setting or institution of higher education, preferred
● Sufficient training to perform tasks assigned by the Principal and Administrators
Language Skills:
● Excellent written and oral communication skills with an ability to effectively communicate with all stakeholders of the school
● English, required
● Bi-lingual (English/Spanish) preferred
Technical Skills:
● Proficient at word processing, presentation and electronic and mail applications
● Experience with school information systems (SIS)
● Working knowledge of workday or willingness to learn schedules
● Proficient with Word, Excel, PowerPoint, and Google applications
Physical Requirements: ● Ability to sit, walk, stand, and climb stairs, alternating as needed and sometimes for prolonged periods of time. ● Must be able to bend, pull, and also reach above the shoulder level ● Must be able to lift 25 lbs.
Pay Range: $28-30/hour
