Chesterton Academy of Northern Utah is an independent classical high school in the Catholic tradition. Inspired by the beauty and richness of the Catholic faith and a deeply classical curriculum, Chesterton Academy seeks to form young men and women to be joyful saints and leaders. We are seeking liberally educated men and women, committed to upholding the Magisterium of the Catholic Church, to join in this mission of guiding young hearts and minds to Christ. We are a small and tight-knit community, expecting 24 students for the 2026-2027 school year.
Timeline: We are hiring an Office Administrative Assistant (OAA) for the 2026-2027 school year. We hope to hire a candidate by the beginning of June to begin onboarding over our summer break, including the possibility of additional training provided by the Chesterton Schools Network beginning June 22.
Hours and Compensation: The OAA will work an average of 40 hours a week during the school year (mid August through the end of May), excepting breaks when school is not in session (e.g. Christmas and Easter breaks). This time will be primarily in-person on campus, roughly 7:30-3:30 each day, with the possibility of 1-2 days of remote work a week. Summer work is flexible, averaging 15 hours a week and with opportunities for vacation. Compensation is commensurate with experience, in the range of $20-$24 per hour.
There is a possibility of splitting this position to two part-time hires, a 25-30 hour Office-focused professional and a 10-15 hour Development-focused professional.
Essential Functions: The OAA will have primary ownership of responsibility for:
- Hospitality. Welcome visitors, parents, etc. with a warm and helpful demeanor, including careful implementation of safety protocols.
- Academic Systems. Manage day-to-day school activities such as scheduling, attendance, student testing and records, and textbook ordering; set up and oversee school records systems (TADS/Educate); manage platform subscriptions and registrations; teacher/student support as it arises.
- Facilities and Operations. Oversee student and volunteer team who keep up basic building maintenance; track and order supplies.
- Events. With guidance and vision from the Headmaster and Executive Director, plan and execute school events targeted for students, parents, donors, and prospective families. This includes organizing and tracking volunteer support and tracking signups.
- Communication. With guidance and vision from the Headmaster and Executive Director, send weekly parent communications and monthly broader community communications; collaborate with a team of volunteers who run social media and our website.
Support Functions: The OAA will support the Headmaster and Executive Director in:
- Enrollment Support. Support the Headmaster in processing applications and shadow days, communicating with prospective families, and helping families apply for scholarship opportunities.
- Development and Finances Support. Support the Executive Director with basic bookkeeping and reconciliation, tuition billing/collections, basic budgeting and budget tracking (Excel/Quickbooks), accounts payable and payroll support, reporting, donor communication and scheduling, prospect and grant research, and event support.
The ideal candidate must be able to pass a pre-employment background check, and is:
- A practicing Catholic who is aligned with our mission and educational philosophy; all faculty, staff, and Board members make a public pledge to uphold the Magisterium of the Catholic Church at the beginning of each school year.
- Strong written and verbal communication skills, with the ability to interact professionally and hospitably with families, staff, volunteers, benefactors, and external vendors.
- Detail-oriented, organized, and able to manage time well, especially when multitasking or interruptions arise.
- Growth-minded and interested in building and refining systems and procedures.
Proactive, reliable, and collaborative in approach, suited to a small-team school setting. - High school diploma required; associate’s or bachelor’s degree preferred.
Other preferred skills and experience include:
- Aptitude in the Google/Microsoft suite and QuickBooks or similar accounting software.
- Experience in schools, nonprofit operations, event coordination, bookkeeping, or a related field.
- Experience in customer service.
