JOB TITLE: Business Manager (Part-Time or Full-Time)

DEPARTMENT: Administration

REPORTS TO: Headmaster

FLSA STATUS: Non-Exempt

Organizational Summary: Aquinas Classical Academy is a classical liberal arts high school in the Catholic tradition serving Catholic families primarily on the Kitsap Peninsula. Aquinas Classical Academy is a Washington approved high school, accredited by NAPCIS (National Association of Catholic and Independent Schools) in 2024.

Position Summary: The Business Manager is an administrative leader directly responsible for the school’s finances and business affairs.

 

QUALIFICATIONS AND EXPERIENCE

·       Accepts and supports the school’s statement of faith.

·       Bachelor’s degree in accounting, business, or related field preferred. Relevant experience in accounting, budgeting, and finance management may substitute for a degree.

·       Non-profit accounting experience preferred.

·       Proficient in Microsoft Office applications and financial/accounting software (Quickbooks).

·       Proficient in problem-solving and communication

·       Ability to successfully manage peak demands especially during budgeting and planning seasons

·       Relational interpersonal style with respect to both internal and external constituents

ESSENTIAL DUTIES AND RESPONSIBILITIES:

GENERAL DUTIES

·       Supervise the school’s business operations including the enforcement of policies, prescribed procedures and communication of difficult decisions in a timely and effective manner.

·       Active member of the admin leadership team, working in close collaboration with school leadership and administration.

·       Oversee financial record-retention policy and procedures.

 

FINANCE

·       Assist the board, educational leaders and other department managers in establishing and implementing school financial policies and procedures and budgets.

·       Prepare, in collaboration with school administration, the annual operating budget for board approval.

·       In partnership with the board Treasurer, manage all relationships with financial institutions and oversee all transactions including expenses, deposits, and investment account activity

·       Implement an effective procedure for collecting accounts receivable and resolving past due accounts.

·       Advise the school administration and board of ongoing financial health through monthly financial reports.

·       Participate in monthly board meetings as assigned.

·       Maintains secure storage of both physical and digital accounting records.

·       Keep current on all IRS regulations and effectively implement them.

·       Prepare required tax filings per city, state and federal regulations and any other required compliance forms and/or reports.

·       Perform month end duties, including journal entries, reconciliations and reporting.

·       Prepare financial statements and all supporting schedules in preparation for the annual review or audit.

·       Maintain accurate recording and tracking of all restricted contributions consistent with the donors’ instructions and documented proof of designation.

·       In partnership with the Executive Director, regularly reconcile contribution income records.

·       Maintain records of fixed assets and depreciation or amortization.

·       Maintains records of designated gifts tracking and associated spending.

·       Track investment account activity and provide recommendations for investment growth strategy to the board for approval.

·       Annually analyze historical and future data/projections to develop pro forma for next school year to inform decisions related to budget planning, strategic designations, investment strategy, staffing assumptions, and tuition setting.

·       Assist in evaluating financial aid applications and determining financial aid awards.

·       Oversee payroll

·       Assist with annual contract administration

·       Oversee current benefits, develop future benefits and enrollment

·       Oversee and ensure the safe, clean and orderly daily operations of facilities to include contract negotiations and administration of lease agreements.

·       Oversee the development and maintenance of school technology needs to include contract negotiations and licensing agreements.

Salary Range for a 10-month contract (will be pro-rated for the 2026-2027 academic year):

0.6 FTE: $19,680-25,000         1.0 FTE: $32,800-41,000
