Job Description

Stella Maris Academy seeks a dedicated and organized Office Manager to serve as the operational backbone of our growing school community. The Office Manager will oversee daily administrative functions, support faculty and staff, and ensure a welcoming environment for students, parents, and visitors. This role is vital to upholding our mission by maintaining an efficient and faith-filled atmosphere that reflects our Catholic classical identity.

Key Responsibilities:

Manage daily office operations, including answering phones, responding to emails, and greeting visitors with warmth and professionalism.
Maintain accurate student records, attendance, enrollment and financial aid data in compliance with archdiocesan and state regulations.
Coordinate school events, such as parent/teacher conferences, field trips, and open houses, in collaboration with faculty and administration.
Working with the school accountant to assist with financial tasks, including tuition payments, invoicing, and petty cash, under the direction of the Head of School.
Order and manage office and classroom supplies and curriculum, ensuring resources align with our Catholic classical mission.
Assist with communications, including newsletters, announcements, and updates to families.
Support the Head of School with scheduling, correspondence, and special projects.
Foster a joyful, orderly environment that reflects our commitment to the Catholic faith and truth, goodness, and beauty.

Qualifications:

Strong organizational skills and attention to detail, with the ability to manage multiple tasks efficiently.
Proficiency in office software (e.g., Microsoft Office, Google Suite) and willingness to learn school-specific systems.
Excellent interpersonal and communication skills, with a warm and professional demeanor.
Commitment to the mission and vision of Catholic classical education, ideally with an appreciation for the Catholic intellectual and classical liberal arts tradition.
Prior experience in an administrative or office management role, preferably in a school setting.
Ability to maintain confidentiality and handle sensitive information with discretion.
Bachelor’s degree preferred, but not required with relevant experience.
