Definition of Position
Under supervision of the Principal, works independently to manage support of the school office. The office manager organizes, directs, and performs various complex clerical, and secretarial services within the school and work on miscellaneous activities and other projects as assigned.
Essential Duties and Responsibilities
Serves as personal secretary to the Principal and assists in the operation of the school office.
Performs secretarial duties; independently answer routine correspondence, maintains administrator’s calendar, schedules meetings.
Performs receptionist duties; gives information to parents and the general public regarding school matters.
Assists in preparing and maintaining the master schedule and student schedules.
Processes data for student registration; requests records from previous schools, and distributes student records for transfer and storage.
Maintains record of personnel absences and keeps timecards current, schedules substitutes.
Greets all visitors, determines their needs, checks appointments, and directs or escorts them to the proper destination.
Responsible for data entry.
Processes student report card data by mid-quarter/quarter.
Sorts, opens and distributes mail.
Maintain cumulative records, prepare temporary files for all incoming students.
Stay informed on all state attendance regulations.
Maintain records for all fire and emergency drills for Fire Marshall.
Initiates and receives telephone calls.
Maintain and update student and staff emergency information.
Prepares purchase orders, requisitions office supplies and maintains an adequate inventory of supplies.
Administers first aid to students and contacts parents and emergency assistance agencies in the case of a serious illness or injury.
May assist in scheduling the use of facilities.
Refers specific correspondence or communication to appropriate staff members.
Prepares and distributes correspondence regarding excessive pupil absences.
Dispenses medication to students.
Types a variety of material including correspondence, reports and memos.
Maintains accurate student records and files.
Operates and maintains a variety of office machines.
Takes minutes at meetings.
Organizes and maintains a filing system.
Attend Wednesday Mass with school at Sacred Heart
Assist/supervise weekly service project group.
Performs other related duties as assigned with are reasonable related to the above.

Possess
High school diploma or general education degree (GED).

Experience
Experience in a school setting is highly desirable.
Experience working with injured and ill children and/or adults.
Experience working with the public.

Skills
Utilize a computer for a wide variety of applications including Word, Excel, etc.
Knowledge of business letter writing and forms.
Knowledge of modern office methods and equipment, including computer technology.
Automated record management and filing systems.
Receptionist and telephone techniques.
Willingness to learn JupiterEd
Ability to learn and apply rules, regulations and policies.
Ability to interact with staff, students, parents and others in an open, friendly businesslike manner.
Ability to be a team player
